1. Ethical Standards & Professional Governance

inhouse.coach operates under defined professional and ethical standards designed to ensure integrity, confidentiality, and responsible service delivery across all engagements.

All coaches affiliated with inhouse.coach are required to adhere to the International Coach Federation (ICF) Code of Ethics as a foundational standard for professional conduct. In addition, inhouse.coach maintains its own internal Code of Conduct governing coaches, staff, and client interactions.

Our Code of Conduct establishes expectations regarding confidentiality, professional behavior, non-discrimination, respectful communication, and reporting procedures. It applies to all individuals engaged in our services, including coaches, employees, contractors, and participants.

Allegations of ethical misconduct may be reported confidentially and are reviewed in accordance with our internal governance procedures. Retaliation against individuals reporting concerns in good faith is not permitted.

2. Data Security & Confidentiality Framework

inhouse.coach applies structured governance practices to protect participant information and maintain confidentiality across all engagements.

Coaching conversations are treated as confidential exchanges between the participant and the assigned coach. Session content is not disclosed to sponsoring organizations unless explicitly authorized by the participant or required by law.

Corporate clients receive structured reporting limited to program activation status, participation metrics, and agreed-upon utilization data. Individual coaching dialogue, personal reflections, and sensitive career discussions are not shared.

Access to participant data is restricted to authorized personnel and affiliated coaches with a legitimate operational need. Personal information is processed through secure hosting environments and controlled-access systems designed to reduce the risk of unauthorized access.

inhouse.coach maintains internal protocols governing data handling, coach conduct, and reporting practices to ensure consistent standards across all programs.

inhouse.coach LLC (“inhouse.coach,” “we,” “our,” or “us”) is committed to protecting the privacy and personal information of individuals who use our website and participate in our coaching and transition services. This Privacy Policy describes how we collect, use, disclose, and safeguard personal information in connection with our website and services.

Scope

This Policy applies to visitors to our website, corporate clients engaging our services, and individual participants receiving coaching or transition support. Depending on the context, inhouse.coach may act as a data controller with respect to website visitors and marketing inquiries, and as a data processor with respect to participants enrolled through corporate-sponsored programs.

Information We Collect

Website analytics

This website uses Framer's built-in analytics to measure page views, visitor counts, top pages, and traffic sources. Framer Analytics does not use cookies and does not generate persistent identifiers. Visitor data is anonymised using a daily-rotating hash of IP address and user agent that is discarded each day and cannot be traced back to any individual. No personal data is stored or shared as part of this process.


Contact form

When you submit an enquiry through our contact form, we collect your name, email address, phone number, and company name, along with the content of your message. This information is used solely to respond to your enquiry and assess whether our services may be relevant to your organisation. We do not use contact form submissions for unsolicited marketing. Submissions are retained for as long as reasonably necessary to manage the enquiry and any resulting engagement, and deleted within 12 months where no engagement follows.


Other voluntarily provided information

We may collect personal information when voluntarily provided, including name, email address, phone number, company name, business details, and professional background information relevant to coaching services. Participants enrolled in programs may also provide information related to career transition objectives and coaching goals.

Cookies and Tracking Technologies

This website (inhouse.coach) does not use cookies and no cookie consent banner is displayed on this site. We use Framer's built-in analytics, which operates without cookies or persistent identifiers as described above. We do not use Google Analytics, Meta Pixel, or any other third-party tracking tools on this website.


Participants enrolled in coaching or transition programs are provided access to the Optify platform, which is operated by Optify, Inc. and governed by Optify's own Privacy Policy and cookie practices. Optify uses cookies, including Google Analytics, within their platform. Participants should review Optify's Privacy Policy at optify.io/privacy-policy and their Security

If we add tracking technologies to this website in the future, this policy will be updated and appropriate consent mechanisms will be implemented before any such tools are activated.

How We Use Information

We use personal information to deliver coaching and transition services, communicate with clients and participants, administer Service Card activation and reporting, improve service delivery and platform performance, and comply with applicable legal obligations. We do not sell personal information. We do not use confidential coaching session content for marketing purposes.

Confidentiality of Coaching Engagements

Coaching sessions are confidential. inhouse.coach does not disclose individual session content to sponsoring organizations without participant consent. Corporate clients receive structured reporting limited to participation metrics and program utilization; confidential coaching dialogue is not shared.

Data Sharing and Service Providers

We may engage trusted third-party service providers to support service delivery, including secure hosting providers, platform infrastructure providers (including our white-labeled coaching platform), payment processors, and communication systems. These providers are contractually obligated to safeguard personal information and process data only in accordance with our instructions.


Key sub-processors relevant to participants include:

Framer B.V. (Amsterdam) — website hosting and analytics. Framer acts as a data processor on our behalf, holds ISO 27001 and SOC 2 certifications, and does not use cookies for analytics.

Optify, Inc. (Reston, Virginia, USA) — coaching program delivery platform. Optify stores participant names, email addresses, phone numbers, coaching goals, session notes, and meeting records within a SOC 2 Type 2 certified, GDPR-compliant environment. Confidential coaching information is restricted to the coach and participant and is not available for export to program administrators. Optify's servers are hosted on AWS with encrypted storage. Data stored in Optify is considered the property of your organisation and can be deleted upon request.

International Operations

inhouse.coach provides services across multiple jurisdictions. Personal information may be processed in the United States or other jurisdictions where our service providers operate. We implement reasonable safeguards to protect personal information transferred across borders.

Data Security

We implement commercially reasonable technical and organizational measures designed to protect personal information, including secure hosting environments, controlled access protocols, and encrypted data transmission. However, no method of electronic transmission or storage can guarantee absolute security.

Data Retention

Personal information is retained only as long as necessary to deliver contracted services, fulfill reporting obligations, and comply with applicable legal requirements. Coaching session content is not retained longer than necessary for program administration and contractual obligations.

Individual Rights

Subject to applicable law, individuals may request access to personal information, correction of inaccurate information, deletion of personal information, or withdrawal of marketing consent. Requests may be directed to privacy@inhouse.coach
